What is ExamTrack?

ExamTrack is our new IT system, designed to assist our customers in organising and administering LAMDA Examinations.

How do I create an ExamTrack account?

We are taking a phased approach to creating accounts for all other customers. If you are an existing Private Centre Coordinator with examinations in May, we have already set up your account and emailed your account details. Those with exams in June will be set up in April and those with exams in July will be set up in May.

If your booking is in May and have not received your account details yet, or if you do not have a booking in May, June or July, please contact us on [email protected].

What internet browser should I use?

ExamTrack works on all internet browsers, but we recommend you use Google Chrome as some functionality may be affected in other browsers.

If you are not sure what a browser is or which one you are using, please contact us on [email protected] and we will assist you.

How do I login to ExamTrack?

Once we have set you up with an account, you will need to create a new password before you can log in. You will receive an email from ExamTrack Alerts with instructions on how to do so. Please note that the link in the email will expire within 24 hours.

Your Username will be the email that you have already registered with us.

What if I forget my password?

If you forget your password, click on the ‘Forgotten Password?’ link on the login page and enter your email address. A reset password link will then be emailed to you.

How do I use the new system?

We have a selection of training videos, along with a user guide on this page. You can also find them on the ExamTrack homepage.

Can I use ExamTrack on my mobile?

Yes, ExamTrack can be used on all electronic devices including tablets and smartphones. To get the most out of ExamTrack, we recommend you use a desktop, laptop or tablet.

How do I update my personal/venue details?

Please email us on [email protected] with your changes and we will make these updates for you.

Will all my Learners on the Online Entry System (OES) be transferred to ExamTrack?

No. You will need to enter your Learners’ details - first name, surname, DOB, gender and postcode - in a CSV Excel spreadsheet, which will be uploaded to ExamTrack. Please email us on [email protected] to request the CSV Excel spreadsheet. Once populated, please return to the same address.

Alternatively, you can enter your Learners in ExamTrack directly, either by completing a Bulk Entry or by entering them within the event. 

Please note, we advise that customers include the Learners’ postcodes to prevent duplicate records being created in ExamTrack. If you don’t know the postcode or are unable to share it, please enter either the examination venue address or the default postcode ZZ99 9ZZ.

What is a CSV file?

A CSV File is essentially an Excel spreadsheet. It is designed to match the formatting in ExamTrack and so that you cannot change the format of the document. This way we can import your completed CSV file into ExamTrack with ease.

When will the CSV spreadsheet get uploaded to ExamTrack?

If you return the spreadsheet to us via email, the data will appear in ExamTrack in 2-3 working days. Alternatively, you can upload the CSV Excel spreadsheet to ExamTrack yourself by clicking on the ‘Import CSV’ button in ExamTrack. Providing you have filled out the spreadsheet correctly, your Learners’ details will appear instantly.

What is a ‘Bulk Entry’ on ExamTrack?

A Bulk Entry is an alternative way to register Learners for a Centre, as opposed to using the CSV spreadsheet. Please remember to click save after entering each new Learner.

Why should I use Bulk Entry?

Using a Bulk Entry is perfect for any teacher who wants to register Learners at the start of term, meaning the Learners’ names are available in a drop-down list when entering them for examinations later in the term.

Can I still submit my entries using a Bulk Entry Timetable Form?

Yes, you can still use the Bulk Entry Timetable Form up until 31 July, 2018. However, we strongly recommend that you submit your entries via ExamTrack so that you can create your timetable.

Can I enter my Learners on ExamTrack for exams in April 2018?

No. You will still need to enter Learners using a Bulk Entry Timetable Form. You can use ExamTrack for examinations from 1 May 2018 onwards.

I can’t enter my Learners for a session as the status is set to ‘Staff are checking the session’. What do I do?

If your status on ExamTrack is set to ‘Staff are checking the session’ and you have not finished entering your Learners, please email us on [email protected] and we will change your status to ‘Ready for candidate entry’. You can then continue entering your Learners.

What if I need to add a date/room to my booked event?

Please email us on [email protected] to add another date/room and we will add it to your existing booking. Please do not add a New Event.

How do I edit my Learners details?

If you are registering a Learner for the first time on ExamTrack you will be able to edit any of your  Learner’s details up until you complete and submit your entries. If you would like to make any changes after submission, please email us on [email protected].

How do I delete duplicate Learners?

If it is the same Learner with the same LAMDA PIN, simply click on the ‘Actions’ button and select ‘Delete’. If it is one Learner with two separate LAMDA PINS, please email us on [email protected] and we will merge the two records for you.

How do I change my session start time?

At the moment, you will need to do so by contacting us on [email protected]. However, we are developing a function for you to change your start time per session. Further details on this will appear on our website and in the ExamTrack guide.

How do I add breaks to my session?

Within the session, click on the ‘Manage Schedule’ button in the top right-hand side and select ‘Alter Exam Order’. Under the ‘Actions’ button you will see the different types of breaks - select the one you would like to add to your timetable and it will appear in the table below.

How do I move Learners or breaks around in my schedule?

Click on the Learner or break you want to move and drag and drop to the preferred slot.

Why is the order of my Learners different on the Learner Entry page and Session Schedule page?

Whilst the Learner Entry page will show your Learners in the order that you have registered them, your Session Schedule page will show your Learners in the order you have timetabled them.

How do I change the exam my Learner is entered for?

If you haven’t yet submitted your entries, simply delete the entry already made and enter them for the right exam. If you have already completed entries, please email us at [email protected] with the change you would like to be made.

Why can’t I enter my Learner for an exam, it says they’re too young?

Check your Learners’ DOB; it should be DD-MM-YYYY. 

Why can’t I enter more than 6.5 hours worth of entries for a session?

The maximum exam time for each session is 6.5 hours. You will need to contact us and either request an extra session or for permission to exceed the 6.5 hours. Please note that there is no guarantee that either request will be accepted.

Why can’t I enter my last Learner, they are the second partner in a duologue or combined exam?

ExamTrack counts each partner in a duologue or combined exam as individuals; this means it counts their exam time twice until it sees two Learners are entered in consecutive order for the same exam are a pair.

If the last Learners in the day are registered for a duologue or combined exam you will need to remove a Learner entered for a solo exam, add the second Learner in the duologue or combined exam and then re-enter the solo Learner.

How do I submit my entries?

When you have finished adding all of your Learners for their examinations, simply click the ‘Complete Entries and Make Payment’ button at the top right-hand side of the page.

How can I pay for my examinations?

When you click on the ‘Complete Entries and Make Payment’ button you will be prompted to pay for your entries, this is because examination fees are due at the same times are your entries. Here you state how you will make payment. If selecting credit/ debit card you will be brought to our secure Payment Gateway to make payment.

How can I obtain an invoice?

In the Events Summary page click on ‘Actions’ and select ‘Invoice’. If you want to see a breakdown of the examination and administration fees being charged please click on the button labelled ‘Print Event Balance’ available in the ‘View Event’ page.

Can I add more Learners to my event after I have submitted my entries?

Once you have submitted your entries you can still add Learners up to two weeks before the first day of examinations. To do so, please email us on [email protected].

If your event is less than six weeks away, a Late Learner Fee will be applied to each additional Learner.

Can I change the order of my Learners after I have submitted my entries?

Yes, you can make changes up to two weeks before the first day of examinations. To do so, please email us on [email protected].

If your event is less than six weeks away, a Timetable Change Fee will be applied to each request.

How do I apply for a Reasonable Adjustment?

You can either complete and submit a Reasonable Adjustment Application Form along with supporting documentation by post or email, or apply online via ExamTrack. If applying through ExamTrack, click on the ‘Reasonable Adjustments’ button, followed by ‘All cases’ in the drop-down menu. And select ‘New Reasonable Adjustment Application’ Fill out the online form, attaching any supporting documentation, and submit. We will review the application and confirm whether the application has been accepted or rejected.
